Business Support Officer

The role

As part of our Finance & Admin group, the Business Support Officer will provide effective administrative support to Saab’s business units within the Hawthorn facility.

As a member of the Business Support team, the Business Support Officer will also be required to work collaboratively with other Business Support Officers and Department Coordinators at the Mawson Lakes campus to ensure the provision of effective administrative support across all business units.

The Business Support Officer will also be required to work closely with the Office Manager, Security Operations team and Facilities team to maintain the integrity of Saab’s facilities.

Further, the successful candidate will:

  • Act as first point of contact for various internal and external queries (in-person, via phone & email).
  • Oversee Reception area, greet visitors and register visitors, and assist the business to ensure that only authorised individuals are present in our Hawthorn campus.
  • Report security incidents and breaches.
  • Provide escort assistance for visitors and/or contractors attending site.
  • Effectively and efficiently fulfil Service Hub requests ensuring high levels of customer satisfaction (internal) including, but not limited to:

- allocation of timecodes for staff.

- catering for internal and external events (order, delivery, set up and clean up).

- support users of Nura Space.

- answer employee queries and guide them to relevant POC, Confluence Wiki, or intranet page.

About you

Your skills and experience will include:

  • Ability to adapt to changing priorities, tasks and requirements (essential).
  • Knowledge of administrative practices and procedures for maintaining quality and efficient administrative support (essential).
  • Strong internal and external customer focus (i.e. both staff and visitors) ensuring high levels of customer satisfaction (essential).
  • Highly developed organisational and time management skills including the ability to develop and maintain comprehensive administrative systems of work (essential)
  • The ability to work under pressure, including the ability to make judgements about competing priorities to meet deadlines while maintaining attention to detail (essential).
  • Demonstrated high-level proficiency in using the Microsoft Office suite of products including Outlook. Excel, Word and PowerPoint (essential).

As Defence security clearance is required for this role, applicants will be required to hold an Australian Defence Security Clearance to NV1 level or have the ability to gain one.
