Business Improvement Specialist

The role

The Business Improvement (BI) Specialist is responsible for driving successful delivery of our process improvement program of work to support our strategic capability uplift and process maturity.  This role will be working primarily to drive our People & Culture (P&C) function’s process improvement program.

This will be achieved through strong collaboration and conducting workshops within People & Culture, primarily P&C leaders, project leads and process owners, to capture current state, optimal future state and establish change plans to ensure a clear pathway to future state. This includes developing supporting materials, advising on appropriate tools and governance, monitoring and reporting on progress and inputting into stakeholder plans and communications. A key to success is considering the voice of the customer and data driven decision making in all process development.

Further, the successful candidate will:

  • Use appropriate business improvement tools and methodologies and facilitate process improvement workshops to optimise the automation and enhance the maturity of P&C processes.
  • Capture and validate future state needs, collaborating with stakeholders to gather and document business requirements, ensuring clarity, accuracy, and alignment with organisational goals.
  • In conjunction with the P&C Program Manager, leaders and/or process owners, conduct thorough analysis of business processes, systems, and data to identify and prioritise areas for improvement and recommended solutions.
  • Establish stakeholder-centric change plans (ADKAR) and work with our Change Team to efficiently work towards and realise the desired future state.
  • Monitor and track the process improvement program and change plans to report on progress and captured benefits, cost savings, time savings and the holistic ROI.
  • Complete a RAPID and process map for each future state process, to provide visual clarity of processes and roles.
  • Collaborate to develop stakeholder and communication plans to ensure engagement, awareness, education and uptake of the future state processes, both within P&C and across the business.

This role reports to the Business Improvement Manager.

Flexible work arrangements such as hybrid work from home / office, 9 day fortnight will be considered for this role. It is expected that a high level of face-to-face contact with the team will be prioritised by the candidate in the first 6 months.

About you

Your skills and experience will include:

  • Proven business improvement, project management and change management skills and experience, including end to end project delivery.
  • Experience in implementing established BI methodologies such as Lean, Six Sigma and Operational Excellence.
  • Experience facilitating process mapping and BI workshops, with the ability to bring your audience on the journey.
  • Deep understanding of the voice of the customer and the impact of problem resolution decisions on other parts of the business.
  • Problem solving and root cause analysis skills and a demonstrated ability to balance business needs and priorities to fix, with resolving the root cause.
  • Strong ability to tailor and present verbal and written communications for stakeholders at all levels.
  • Passion to enhance the user experience for team members and the internal customer.
  • Sound understanding of mature and efficient processes and systems.
  • Ability to build strong relationships and engage with cross functional stakeholders.
  • Ability to work autonomously and within a distributed team to achieve mutually agreeable outcomes.
  • Strong understanding of master data quality principles and data driven decision making.
  • Strong knowledge of and skills in Excel, Word and PowerPoint to create documentation to map, track, report and present processes and recommendations.
  • Experience in data driven analysis in Excel or similar to determine root cause of issue and measure improvements.
  • Workday experience and experience working with IT to enhance existing workflows and systems will be well regarded.

Although this role is based in the P&C function, applicants that have BI experience in other corporate teams or operational experience with touch points to support based functions are encouraged to apply.

As Defence security clearance is required for this role, applicants will be required to hold an Australian Defence Security Clearance to NV1 level or have the ability to gain one.

Educational Qualifications and Professional Memberships

  • Accredited Certifications in Business Improvement discipline/s, project management and/or change management are desirable or the equivalent demonstrable work experience.
  • Demonstrated experience in a similar role with many stakeholders, with experience in a highly confidential environment highly regarded.
